Sports Administration Officer

This role is fast-paced and requires someone who can be across many tasks to contribute towards the delivery of the calendar of annual Surf Sports Events and Sports Development. You will be sports oriented, a team player, a strong administrator and above all flexible and willing to pitch in to get the job done.
Responsibilities include
  • Manage competitor entries, compliance checks, officials nominations, referee packs, data entry, event communications, entries, draws and results
  • Assist with the design, analyse and evaluate post event surveys and infographics 
  • Contribute to post event reports 
  • Provide on ground support at selected events and programs, 
  • Manage the event application process
  • Assist with logistical and planning requirements for major events
  • Administer national coaching & officiating accreditation process and database updating 
  • Assist with member enquiries 
  • Assist with the administration of the official’s appointments process and the coordination of the Officials.
  • Assist in the planning and preparation of Coaches & Officials courses and training programs
  • Review website and other electronic platforms regularly and updated as required
  • Produce timely, accurate reports and meeting minutes (includes teleconferences and programs)
  • Prepare and distribute monthly Sport Updates and other communications to Branch Directors of Surf Sports as required.
  • Co-ordinate communications to state team members
  • Co-ordinate team uniforms and distribution
  • Co-ordinate update and supply of team managers travel information pack/brief   
  • Assist Sport Manager with team logistics
  • Coordinate gear and equipment sales and monitor inventory on a monthly basis
About You

This role will suit a confident, autonomous and strong administration assistant capable of handling and coordinating multiple tasks for event delivery, sport development and general department administrative duties.

You will ideally have a good understanding of how community/sporting organisations operate and have some sporting event involvement.

Flexibility to attend and work at weekend events if required.

Skills and Experience
  • Excellent time management, administration & organisational skills
  • Database and MS Suite experience at Intermediate to Advance level
  • Reporting experience
  • Physical fitness to undertake reasonable physical tasks and manual handling required during events
  • Strong written & verbal communication skills
  • A team player with a flexible and resilient approach
  • Proven ability to meet deadlines, multi-task and prioritise
  • Strong Interpersonal & customer service skills with ability to engage with internal and external stakeholders
  • Professional and positive manner with excellent personal presentation
  • Accuracy and high attention to detail
  • Current driver’s licence
  • Relevant administration or tertiary qualifications in Sports Management or administration OR equivalent experience
  • Understanding of membership-based organisations
  • Previous experience working with volunteers & knowledge of surf lifesaving.
  • Understanding of competition management
  • Flexible approach to work hours – critical is your willingness & availability to travel as required and work some weekends/out of hours and at events. Time in lieu will be offered in compensation.
